Administration: 31a Pre-Launch Checklist

Complete the 31a pre-launch checklist prior to 31a eligiblity and annual program reporting to ensure successful results.

MI Datahub

  • Ensure all students are enrolled in course sections or have a course section association.  Note:  Run the At-A-Glance Report in the MI Datahub Cockpit to help identify students who are not associated with a course section.  Click Here for article with more information.
  • Check that all teachers have course section associations.
  • Verify that all data has been published to the MI Datahub for the current school year from your Student Information System.
  • Verify that the ODS file has been set up correctly.

 

State Assessment Data (M-STEP, PSAT, SAT)

  • Pull updated state assessment data files in CSV format for the new school year, from the Michigan Department of Education OEAA site, and upload them to the Munetrix district secure Box folder. 
  • Notify your Customer Success Manager once all files have been uploaded including: M-STEP, PSAT, SAT.

 

Local Assessment Data (NWEA, i-Ready, STAR, Fastbridge, DRC)

  • If your district has authorized Munetrix to pull data directly from the NWEA, i-Ready or STAR SFTP notify your Munetrix Customer Success Manager when your benchmark testing window is complete so they can ensure all data has been uploaded.
  • If you manually export NWEA data and provide it to Munetrix, run the data export for the most recent benchmark testing window and upload the CSV or Excel files to your district's secure Munetrix Box folder.  
  • Fastbridge and DRC users must manually export the data to a CSV or Excel file format and upload it to your district's secure Munetrix Box folder.
  • Notify your Munetrix Customer Success Manager once all manually exported data files have been uploaded to Box, if applicable.

 

Attendance Data

  • Run an export of student level attendance data from your SIS system,
    • Beginning of the Year:  You may select to use the previous school year's attendance data or the data for the current school year from the first day of school through count day.
    • Mid-Year and End-of-Year:  Export the attenance data from the first day of school to the winter count day or the last day of school, as applicable.
  • Complete the Attendance Data Export Template and upload it to your district's secure Munetrix Box folder.
  • Contact your Munetrix Customer Success Manager for the Attendance Data Export Template.

 

Sensitive Criteria

31a eligibility reporting contains 4 sensitive criteria categories for identifying eligible students.  Principals, counselors, social workers, teachers may be aware of students who meet these criteria.  Every effort should be maintained to limit access to this information to ensure student and family privacy.  The four sensitive criteria are outlined below.

    • Victim of Abuse
    • Pregnant Teen or Teen Parent
    • Parent is a victim of substance abuse, incarceration or did not complete school.
    • Student is in high school for 4 years or more and is still in school.

There are two ways this information may be added to the 31a Eligiblity report in Munetrix.

    • The district can authorize personnel to tag students for one  or more of the sensistive criteria  directly in the Munetrix platform.  Read Article for step-by-step directions.
    • The district can provide a spreadsheeet with students and the sensitive criteria they should be tagged for.  At a minimum the spreadsheet must contain State Student ID (UIC), First Name, Last Name, Building, Grade, and the sensitive criteria applicable.
    • Contact your Munetrix Customer Success Manager to discuss the best strategy for your district.

 

31a Eligibility Report Criteria

Ensure that 31a  eligibility report criteria have been set up in Munetrix to generate the eligibility report correctly, based on your school district's individual business rules for 31a eligibility.  (i.e. state assessment cut scores, local benchmark assessment cut scores or percentiles, etc.)
